1. Introduction

Thank you for using Scandinavian Hospitality and its services. In this Privacy Policy we will explain how our organisation uses the personal data we collect from you when you use our website.

We are dedicated to protect all the personal information we collect and to help ensure that personal information is handled properly. Our goal is to ensure you will feel secure, after having read this policy, in that your personal integrity is respected and that your personal data is treated in a correct manner. We focus tremendously on ensuring that our treatment of personal data is always in compliance with current legislation, especially the European Union’s General Data Protection Regulation (GDPR) which has been in effect since the 25th of May 2018.

2. What is personal data and what does the processing of personal data mean?

Personal data consists of all information that directly, or indirectly together with other information, can be connected to a living, physical, person. Examples of personal data consists of, among others:

  • Personal ID number

  • IP-address
  • Credit card number
  • Pictures and video

The processing of personal data includes every action connected to the use of the personal data, regardless of whether such an action is performed automatically or not. This means that the following actions, among others, are included:

  • Are guests of ours
  • Arrange meetings or events using our properties
  • Visit our website or our social media platforms
  • Otherwise communicate with us, for example through one of our travel specialists

3. To whom does this policy apply?

This Privacy Policy applies to all individuals that decide to use our website, social media platforms, and in continuation of that our services. This Privacy Policy also applies to the “Data Subjects”, the individuals, that choose to stay at one of our villas or apartments and from whom we collect and process personal data. 

By agreeing to using our website, social media platforms, and services, you agree to our processing of your personal data in accordance with this Privacy Policy.

4. What data do we collect?

In this part we explain what kind of information we collect and how we use your personal information for us to be able to offer our services. This part is divided into two sections focussed on either a guest-user or as a homeowner-user. 

4.1 When you enquire and/or book with us as a guest

When you enquire about our services as a guest through our webpage, instagram, or through email or telephone, we ask for the following contact details and information to be able to process your inquiry:

  • Your full name
  • Contact information (most often email and/or telephone number)
  • The amount of people you are making an enquiry for

Once you decide to book a stay with us we might ask for certain documents to verify your identity, such as:

  • Images of your government issued ID, passport, national ID card, or driving license, as permitted by applicable laws

Any payments will be processed using a secure payment platform, and we will not ask for your credit card details over the phone or email.

4.2 When you enquire about listing your home with us

When you enquire about our services as a homeowner through our webpage, instagram, or through email or telephone, we ask for the following contact details and information to be able to process your inquiry:

  • Your full name
  • Contact information (most often email and/or telephone number)
  • The address of your property

If after an initial consultation with Scandinavian Hospitality, we might ask for detailed to verify the property belongs to you, such as:

  • Images of your government issued ID, passport, national ID card, or driving license, as permitted by applicable laws
  • Proof of ownership of the property in question

To be able to process payouts to our homeowners we request their bank details, this however will only take place after a contract has been signed between Scandinavian Hospitality and the homeowner.

5. How do we collect your data?

The personal information that we gather is entirely based on your choice to provide it through any of our contact options. We do not gather any information for advertising purposes nor are we working together with other companies to resell any information. 

You choose to provide your personal information with us either through:

  • Our “inquire now” contact page
  • Our “list your home” contact page
  • Through email
  • Through telephone
  • Through social media (i.e. instagram and/or LinkedIn)
  • Through making a booking
  • Through providing guest feedback

It may also be possible that your personal information is shared with us through one of our affiliated travel agencies or destination management companies. In this case, you will have given consent to the travel agent or destination management company in question to share your personal information to be able to book our services.

6. How will we use your data?

6.1 We process your personal data in order to:

  • Identify you as an individual
  • Handle and deliver what you have purchased in accordance with our terms and conditions
  • Charge you for the services and products that you have ordered
  • In order to discover, and prevent, fraud in conjunction with bank card payments
  • Notifying you (through email, or similar) regarding information connected to your stay at one of our villas or apartments
  • Produce statistics regarding purchases and usage, in order to improve our Services
  • Answer questions and handle your matters, for example addressing defects, handling complaints, questions about your stay either prior or after your booking
  • Improve our services and the information we provide and publish on our website and other forms of communication

6.2 Legal grounds for the processing:

We process your personal data based on: 

  • Performance of a contract when we provide our Services; 
  • Based upon a weighing of interests when we have a legitimate interest in using your data for statistical purposes and to market our services, as well as to secure payment and prevent fraud and;
  • Based upon a legal obligation for handling opt-out settings requests concerning your rights in accordance with the GDPR.

7. How do we store your data?

Your personal data will be stored only for the time necessary to process and perform our services, and for up to a maximum of 12 months of inactivity with us after which your data will be automatically erased from our database.

Scandinavian Hospitality’s employees receive training on all GDPR rules and industry standards to ensure we carefully handle your personal information. 

Do note that no method of transmission of data via the internet, or method of electronic data storing, is 100% secure. Therefore, we cannot guarantee the absolute security of your personal information.

8. Your rights

We would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access: You have the right to request Scandinavian Hospitality for copies of your personal data. We may charge you a small fee for this service.

The right to rectification: You have the right to request that Scandinavian Hospitality correct any information you believe is inaccurate. You also have the right to request Scandinavian Hospitality to complete the information you believe is incomplete.

The right to erasure: You have the right to request that Scandinavian Hospitality erase your personal data, under certain conditions.

The right to restrict processing: You have the right to request that Scandinavian Hospitality restrict the processing of your personal data, under certain conditions.

The right to object to processing: You have the right to object to Scandinavian Hospitality’s processing of your personal data, under certain conditions.

The right to data portability: You have the right to request that Scandinavian Hospitality transfer the data that we have collected to another organization, or directly to you, under certain conditions.
